How much time do you think is ample notice? I feel odd saying, you have two years to plan. That seems like an awful long time.
Also, what time do you think I should plan it, on a Saturday night perhaps? In other words, opinion on the busiest time?

I guess weekends work best. As for the notice in advance, that really depends on you, a week, two weeks. The most important thing would be to try and advertise it as much as possible.

Unfortunately, there are always those who won't really care about these sort of things and won't participate without some sort of incentive.

I'm not sure when the best time would be since the players are so spread out. The time to prepare though depends on the type of event. A simpler event may only take a day or two to prepare while something complex might require a couple of weeks and some staff help.

At least a week, two if it's a big thing that a lot of different people will want/need to get to. Weekend evenings usually work best.

Highest counts are usually Sunday afternoon.
